Use this template to help make sure you hit all the points when hosting your event!
STEP 1: Plan and Submit a Budget Request
For information on the process to submit a budget request, see our BUDGETING tab. Make sure to check out the Law School Calendar and the 1L schedule to make sure there are no conflicts.
STEP 2: Request a room
If your event is at the law school, you must request a room through VEMS. Each organizations President and Vice-President should have access to VEMS to request rooms. Go to the link below and follow the instructions. For questions, please reach out to Sara Hughes (sara.hughes@drake.edu).
STEP 3: Fill out the Law School Events Survey and Calendar
Reminder before a student organization hosts an event on or off campus, the primary contact of the event must fill out this survey. This should be done at least three (3) business days before the event and/or prior to entering into a rental contract. If food is served, you will also need to get your order to Sodexo at least one week prior to the event to avoid late fees.
Events at the Law School are added to the Law School Outlook calendar so that students, faculty and staff are able to see what is happening at a glance. Please use the attached directions to add it to your calendars and bookmark it. Entries are categorized by Academics, Admissions, Career Development Office, Faculty, Law School Events, Library and Student Organizations.

STEP 4: Submit food order to Sodexo
Food orders should be submitted one week in advance to avoid late fees. If you are having an event at school and having food, you must go through Sodexo (unless it is under $60 TOTAL). Sodexo has added a new online ordering system, Square Tomato. Please see the attached instructions on the new ordering process. *Please note: During checkout it asks for approval email address, and Susan Edward’s email (susan.edwards@drake.edu) needs to be entered.
STEP 5: Poster Policy & Print Request
Each organization gets limited SBA Printing power per event. Specific rules are outlined below. To request printing from SBA, submit the following form to SBA Secretary, Maci Kluesner (maci.kluesner@drake.edu)

AFTER YOUR EVENT––
STEP 6: Submit a reimbursement form to SBA
After your event is completed, fill out an SBA reimbursement form to get reimbursed for your money. Submit the form as soon as possible after the event, but no more than 2 weeks later or you may not be reimbursed. Send the Word Document to SBA Treasurer, Matthew Clarke (matthew.clarke@drake.edu)
